Supplier Categories Exempt from Providing Certificates of Insurance
Summary: Learn which categories of suppliers are exempt from providing Certificates of Insurance (COI).
Circumstances when a category of supplier is exempt from the Certificate of Insurance requirement:
- Suppliers with a one-time exemption by the UCSC Office of Risk Services from the standard insurance requirements. (These suppliers are exempt from both the insurance requirements and the requirement to provide a Certificate of Insurance.)
- Supplier categories with an ongoing exemption by the UCSC Office of Risk Services from the standard insurance requirements. A list of these supplier categories: Supplier Categories Exempt from the Insurance Requirements. (These suppliers are exempt from both the insurance requirements and the requirement to provide a Certificate of Insurance.)
- Categories of suppliers not required to provide proof of insurance. Insurance is required but the vendor need not show proof of insurance by providing a COI. These categories of suppliers have an ongoing exemption by the UCSC Office of Risk Services for the COI requirements. Authorized supplier categories:
- Providers of all goods (except suppliers of high-risk goods)
- Hotels, motels and conference centers
- Venues for performances, meetings and retreats
Purchasing can request an addition to this list of supplier categories exempt from providing COIs. Insurance is still required. To add a category:
If a Purchasing Buyer believes that there is a compelling business need to exempt a category of supplier from providing a Certificate of Insurance on an ongoing basis, then a Purchasing Supervisor can send an email outlining the rationale in cost/benefit terms and requesting the exemption to the Certificate of Insurance requirement to risk@ucsc.edu.
Risk Services will evaluate the risk to the university and make a determination of whether the supplier category will receive an exemption to the Certificate of Insurance requirement.
