Always report insurance claims as soon as possible. Some insurance claims have reporting time limits and coverage could be denied for late reporting.

Property Claims - this webpage is a quick reference for campus units with open property insurance claims. 


After an Accident / Incident

Property
Damage to UC owned property and some loaned / leased equipment
  • Report the claim using the Property Claim Reporting Form.
  • If the loss is the result of theft, vandalism, or any other criminal activity, contact local police and complete a police report.
  • Report stolen phones, laptops or tablets to ITS at https://its.ucsc.edu/security/report.html.
  • Take photos to make a complete photo record of (1) the cause of loss and (2) the damaged property.
  • Prevent future damage by taking any necessary steps to protect university property from further damage.
  • Retain and preserve all evidence. Do not discard anything that is loss related. If it is not possible to retain the evidence, contact propertycasualty@ucsc.edu.
  • Retain all purchase orders, contracts, invoices, timecards and receipts showing proof of purchase of goods, services, labor, and materials. If the loss is for equipment on loan/lease to the university submit any agreements, MOUs, and/or contracts that document the terms and conditions under which the university has assumed responsibility for the property.
  • Work with Sedgwick, the university's third party claims administrator to resolve the claim.

Auto
Damage to autos and damage caused by autos that are being used on university business
  • Report all auto accidents that occur while using any vehicle on university business. Use the Auto Claim Reporting Form.
  • If the loss occurs when using a rental vehicle in addition to reporting it to the university, the loss must also be reported to the rental car company.
  • Notify Fleet Services if a UC owned vehicle was damaged.
  • At the scene, do not admit liability or accuse anyone of fault. If it is safe to do so
    • take photos of the accident, damage to both vehicles; 
    • obtain complete information on the other party, which should include the complete contact information (phone, address, & email), driver’s license and insurance information;
    • obtain information about any damage or injury and make notes; 
    • make a diagram of the accident.
Liability
Injury to others and/or damage to their property

Typically general liability claims involve claims or allegations by non-employees that the person sustained injury/property damage arising out of UC operations, products or services. 

Liability Claim Reporting

Liability claim reporting is to be used if you believe that the university is responsible for your property damage or injury and you want to submit a claim for compensatory damages. Equity & Equal Protection has information about reporting an incident and/or making a complaint relating to discrimination and harassment on the basis of race, religion, disability, sex, gender, age and other protected identities.

Considerations for UC employees
  • If another party was involved the obtain the complete information on the party who sustained the injury/damage and detailed information on the damage/injury.
  • Take photos to make a complete photo record of (1) the cause of loss and (2) the damage to the person/property.
  • Retain and preserve all evidence. Do not discard anything that is loss related. If it is not possible to retain the evidence, notify propertycasualty@ucsc.edu of the issue.
  • Do not discuss responsibility for injury/damage of the other party.
  • Prevent future damage/injury by taking any necessary steps to safeguard the area where the accident happened on university property.
